Business English - how to rearrange an appointment

Vicky B

In Business you might want to change an appointment that you have already made. Here's how to do it naturally and politely.

The 3 Basic Steps

Step 1: Introduce the topic (the appointment)
Step 2: Ask to change the appointment
Step 3: Give a reason for changing

Here's an example:

Hi Sally, I’m calling about our appointment on the 20th.Would it be possible to change to another date? Our company’s IT department is doing some wifi maintenance work and the internet connection might not be that good.

A very useful phrase!

When you give a reason for rearranging, a very useful phrase is:

Something has come up and I won’t be able to make it.

Something has come up” means “an unexpected situation or event has happened, which needs my attention so I have to change my plans”.

This is such a useful phrase because you don’t need to give details, and the other person won’t ask!

make it”is an informal phrase meaning “attend”
