Business English - Making an appointment with a client

Follow these steps to make an appointment with a client in English:


1. INVITING

First, here are some phrases to invite your client to meet with you. They are in order from formal to informal:

  • I was wondering if we could meet to discuss our new products.
  • Would you be interested in meeting to discuss our new products?
  • It would be great to meet to discuss our new products.
  • Could we meet to discuss our new products?


2A. SUGGESTING A DATE

If your client agrees, you can suggest a date. Here are some phrases to do this. They are in order from formal to informal:

  • Is Friday May 5th convenient for you?
  • Are you available on Friday May 5th?
  • Are you free on Friday May 5th?
  • Does Friday May 5th work for you?
  • Is Friday May 5th good for you?

You can also use these phrases to suggest a time.



2B: ASKING OTHER PERSON TO SUGGEST A DATE

You can also ask your client to suggest a date and time. Here are some phrases to do this. They are in order from formal to informal:

  • When is convenient for you?
  • When are you available?
  • When are you free?
  • What day works for you?
  • When is good for you?


3A: AGREEING TO A DATE 
If your client suggests a date that is good for you, you can accept using one of these phrases. Again, they are in order from formal to informal:

  • Yes, that’s convenient for me.
  • Yes, I’m available then.
  • Yes, that’s good for me. 
  • Yes, I’m free then.
  • Yes, that works for me.
  • Sounds good!

 

 

3B: DECLINING AND SUGGESTING ANOTHER DATE
If that date isn't good for you, you can decline and suggest another date using one of these phrases. Again, they are in order from formal to informal:

  • Sorry, Friday doesn’t work for me. Is there any chance we could meet on Wednesday?
  • Sorry, I have meetings all day on the 5th. How about the 6th?
  • I’m afraid I’m not free then. Are you available any other days?
